1. How quickly do you close the books each month?
Industry standard is 2–3 weeks after month-end. The best firms close within 5 business days. Ask specifically: 'When will I have my P&L for March?' If the answer is vague or 'it depends,' that's a red flag. Late books mean you're making decisions with old data.
2. What software do you use, and who pays for it?
QuickBooks Online and Xero are the industry standards. If a bookkeeper is using something proprietary or unusual, ask why. Also clarify who pays for the subscription — many firms quote a low monthly fee but require you to add a $35–$50/month software subscription on top.
3. How will you communicate my financial results to me?
A PDF emailed once a month is the minimum — and often not enough. Ask if they provide a dashboard, a call, or a video walkthrough. Errors happen. What matters is how they're handled. A good firm will flag issues proactively, explain what happened, and fix it without billing you for the correction. Ask directly: 'If there's an error, how is that handled, and is there an additional charge?'
5. Do you work with my CPA, and how?
