Choose QuickBooks Online if…

  • Your CPA or tax preparer is already on QBO — most US CPAs prefer it
  • You need 1099 contractor management built in
  • You run payroll and want it integrated

Choose Xero if…

  • You have a larger team and want unlimited user access without paying per seat

What about Wave, FreshBooks, or spreadsheets?

Wave is free and fine for very simple businesses with under $200K in revenue. FreshBooks is strong for invoicing-focused service businesses. Spreadsheets work until they don't — and they usually stop working right when your business needs accurate numbers most. If you've outgrown your current tool, a migration to QBO or Xero typically takes 1–2 weeks.

The bottom line

For most US-based small businesses, QuickBooks Online is the safer default — especially if you have a CPA filing your taxes. Xero makes more sense if you prioritize unlimited users, multi-currency, or a more modern interface. Either way, the platform matters less than having a bookkeeper who actually uses it consistently.
