Scope of services

Graphene Financial Services, LLC ("Graphene," "we," "us," or "our") provides virtual bookkeeping and financial management services to small and mid-sized businesses. Our services are limited to:

• Recording, categorizing, and reconciling financial transactions
• Preparing financial reports including profit & loss statements and balance sheets
• Cash flow tracking, forecasting, and management reporting
• Accounts payable and accounts receivable management
• Sales tax data organization (not filing advice — we work with licensed tax professionals)
• Financial dashboard setup and ongoing monitoring

Not within our scope

The following services are explicitly outside the scope of Graphene's offerings and require a licensed professional:

• Tax preparation and filing: We do not prepare or file federal, state, or local tax returns. We strongly recommend working with a licensed CPA or enrolled agent for all tax compliance matters.
• Tax advice: We do not provide tax planning advice, tax strategy recommendations, or interpretations of tax law.
• Legal advice: We do not provide any form of legal counsel, contract review, or regulatory compliance guidance beyond general financial recordkeeping.
• Investment advice: We are not registered investment advisors and do not provide investment recommendations or securities-related guidance.
• Auditing: We do not perform financial statement audits, reviews, or compilations as defined by GAAP or PCAOB standards.
• Payroll administration: Payroll processing is not included in any of our service tiers. We recommend licensed payroll providers such as Gusto or ADP.

Professional certifications & affiliations

Our team holds the following certifications relevant to the bookkeeping services we provide:

• QuickBooks Online ProAdvisor Certified (Intuit)
• Xero Advisor Certified

These certifications relate to software proficiency and bookkeeping practices. They do not constitute CPA licensure or any regulated financial credential.

Data security & software platforms

We use industry-standard, cloud-based accounting platforms including QuickBooks Online and Xero, both of which maintain their own security certifications including SOC 2 compliance. Client financial data shared with Graphene is handled in accordance with our Privacy Policy. We do not sell, rent, or disclose client financial information to third parties except as required to perform contracted services (e.g., sharing read-only access with licensed CPAs at client direction).

Accuracy & limitations

Our financial reports are based on information provided by or on behalf of the client. Graphene relies on the completeness and accuracy of information supplied. We are not responsible for errors or omissions in reports that result from incomplete, inaccurate, or untimely information provided by the client. Financial reports prepared by Graphene are for management information purposes only and should not be used as the sole basis for major financial, legal, or investment decisions without independent professional review.

Arizona business registration

Graphene Financial Services, LLC is a limited liability company registered in the State of Arizona. We provide services nationally as a virtual firm. Clients in all states are welcome; however, clients should be aware that applicable laws and regulations may vary by state and that state-specific tax or legal matters should be handled by professionals licensed in the relevant state.

Referrals & third-party services

We may refer clients to third-party professionals including CPAs, tax attorneys, and payroll providers. Such referrals are made in good faith but do not constitute endorsements. Graphene is not responsible for the services, quality, or conduct of any third-party provider.

Changes to this notice

We reserve the right to update this Compliance Notice at any time. Material changes will be communicated to active clients via email. Continued use of our services following notice of changes constitutes acceptance of the updated terms.
